Billing & plans

Deckchair bills on a simple per-seat basis. Billing is managed under Settings → Billing, visible only to admins.

$0.99 per active member per month. No tiered plans, no per-feature upcharges — everyone gets everything.

Billing is monthly in advance. You’re charged at the start of each cycle for the number of active members at that moment.

Every new organization gets a 14-day free trial. No payment method required up front. During the trial you have full access to all features with no seat limits.

When the trial ends:

  • If you’ve added a payment method, billing starts automatically and the subscription becomes active.
  • If you haven’t, the subscription goes unpaid and the app switches to read-only mode. Members can still sign in and view existing data, but new requests can’t be submitted. Add a payment method under Settings → Billing to reactivate.

“Active” means a member whose Active toggle is on (the default). Deactivated members don’t count toward your bill — this is the clean way to offboard people who’ve left the company without losing their leave history.

You’re billed for the active count at the start of each cycle. Adding a member mid-cycle doesn’t charge you immediately; they’ll be included in the next month’s bill. Deactivating a member mid-cycle doesn’t refund the current month but stops them counting from next month.

The seat count and monthly total shown on the Settings → Billing page are computed live from your current active members, so adding or deactivating someone is reflected immediately — you don’t need to wait for the next billing sync. The displayed total is the pre-tax subtotal (active members × per-seat rate). Any VAT or sales tax appears on the actual invoice.

Managed via the Stripe billing portal, linked from Settings → Billing → Manage billing. You can:

  • Add or change your card.
  • Change the billing email (where invoices are sent).
  • Update the billing address (required for tax compliance in some regions).
  • View and download invoices.

Deckchair doesn’t store card details itself — everything is handled by Stripe.

StatusWhat it means
trialingFree trial period, access to all features.
activePaid, in good standing. Everything works.
past_dueA payment failed. Deckchair retries for a few days. Update your payment method to fix.
unpaidRetries exhausted. App is in read-only mode until payment succeeds.
canceledSubscription ended. Account is read-only; data is retained for 30 days then deleted.
incompleteInitial payment didn’t complete. Usually transient — refresh and try again.

Every cycle generates an invoice, sent by email and also available under Settings → Billing → Invoices. Invoices include:

  • Billing period.
  • Seat count for that period and the per-seat rate.
  • Applicable taxes (VAT/GST where we’re registered).
  • A PDF download for your records.

To cancel, go to Settings → Billing → Manage billing and use the Stripe portal’s cancellation flow. The subscription stays active until the end of the current paid cycle, then switches to canceled. You won’t be billed again.

After cancellation:

  • 30 days of read-only access to export data.
  • After 30 days, the organization and all its data are permanently deleted.
  • You can’t un-cancel after deletion — reach out to support within the 30-day window if you change your mind.

There’s only one plan, so there’s nothing to upgrade or downgrade between. Costs scale automatically with active seat count.

If you need custom terms (volume pricing, enterprise agreements, annual contracts), contact support.
